Preferences Resources
TimeEdit Preferences is the University's new timetabling requirements data collection system. This streamlined system allows Unit Coordinators to easily submit their teaching requirements and preferences for each unit offering.
The data collection form includes pre-filled timetable information from the immediate preceding years' published timetable where available, bringing time-saving benefits. Unit Coordinators can review and adjust the pre-filled details. New units and units that had no published timetable in the immediate preceding year will not have pre-filled activity information, and these new activity requirements will need to be created in the form.
Accessing Forms
- Each Unit Coordinator will receive personalised email links for their specific unit offerings
- Links are unique to each offering and cannot be shared
- Forms can be saved as draft and completed in multiple sessions
- The submission deadline will be noted in the email you receive
Quick Start Guide
To submit your timetabling requirements:
- Click your unique offering link from the email
- Review the unit information (pre-filled from previous timetable where available, otherwise create new requirements)
- Select your teaching templates
- Specify your weekly activities
- Review all entries
- Submit your completed form
System requirements
- Works on all major web browsers (Chrome, Firefox, Safari, Edge)
- No special software installation needed
- There is no longer a requirement to connect to the UNE VPN to access forms
- Stable internet connection required
- Recommended: Use a desktop or laptop computer for the best experience
Introduction & Getting Started
The Start section displays essential information for each unit offering in TimeEdit Preferences.
At the top of the screen, note the navigation menu showing the different sections: Start, Templates, Weeks, All Activities, Review, and Submit.
The Start section contains three key elements requiring attention:
Offering
- Verify the unit code and teaching period are correct. This will be greyed out and not able to be changed - if this is incorrect, please get in touch with the Scheduling team.
- The offering information is pre-filled based on the personalised form link
- Please indicate the estimated number of students.
- If you are co-teaching another offering, or if there is another offering combined, please tick the "This Offering shares activities with another Offering" box. In the field that appears, please select the appropriate offering (you can start to type the offering code to narrow the list of options). Continue adding until all offerings being co-taught are added.
Trimester Weeks
Select the appropriate teaching pattern:
- Standard Weeks (Weeks 1-6, 9-13)
- Education Weeks (Weeks 1-8)
The selection should align with the unit's teaching requirements.
Expected Student Numbers
- Enter the estimated total number of students
- Even if you are unsure, base this on previous enrollment data where possible
- This assists with room allocation and capacity planning
Once these details are confirmed, click next in bottom right hand corner to proceed to the next section.
Templates section
The Templates section is where you set up the different types of teaching activities for your unit.
- Templates are the building blocks of your timetable
- Create one template only for each type of teaching activity (e.g., lecture, tutorial, practical)
- In instances where you are teaching two of the same activity type each week, create an additional template for the second occurrence of the activity, for example, create a template for Lecture 1 and another template for Lecture 2
- Templates can be copied across multiple weeks later in the form
Adding Templates:
- Click 'Add template'
- Select your activity type from the dropdown menu
- Use the search/type-to-narrow feature to find specific activities
- Contact the Scheduling team if your required activity type isn't listed
For each template, you'll need to specify:
- Student Group size - If activities are to be run multiple times with smaller group sizes rather than the whole cohort in one session, please indicate the number of students per group.
* New feature: Please note, you will see a greyed out field called "Groups". This field will autofill with the number of groups required based on the number you supply on the start page for "Estimated number of students" and the number you specify in the "Student Group Size". You do not need to manually complete the "Groups" field. - Duration (in hours)
- Combined/Co-taught Offering - if you have indicated on the Start page that there is a combined offering, please click in this field and that offering will be in the drop down - click to select. Please note you need to complete the combined offering on the Start page to enable this field.
- Room requirements
- Any specific equipment needs
Important Notes:
- Review any pre-filled templates carefully
- Update pre-filled student numbers from the preceding year to current expected numbers where needed
- You can edit or delete existing templates as needed
- Consider accessibility requirements when selecting rooms
- Multiple templates can be created for the same activity type if needed (e.g., two different types of tutorials)
Tips:
- Start with your main teaching activities first (lectures, tutorials)
- Consider whether activities need specific facilities or equipment
Weeks section
The Weeks section is where you apply your templates to specific teaching weeks throughout the trimester.
Teaching Periods:- Standard Trimester: Weeks 1-6 and 9-13
- Law: Weeks 1-6 and 8-13
- Education: Weeks 1-8
Note: Weeks are automatically set based on your teaching period selection in the Start section.
Working with Weeks:- Select the week(s) you want to add activities to
- Choose which template(s) to apply
- Review the details for each week
Adding Activities:- Click 'Add activity' to apply templates to selected weeks
- You can add multiple activities at once
- Activities can be copied across multiple weeks
Important: When copying activities to all weeks that are already pre-filled with some activities, be aware this will copy ALL currently selected activities and may create duplicates
Key Features:
- Trimester break/Intensive weeks are greyed out based on your teaching period
- Weeks can be selected individually or in groups
- Each week displays its applied activities for easy review
- Activities can be edited or removed from specific weeks as needed
- If you need to start over, you can click the "Remove All Activities" button
Common Scenarios:- Regular weekly lectures: Apply once and copy to all teaching weeks
- Alternating tutorials: Apply to specific weeks as needed
- Special activities: Add to individual weeks as required
Important Notes:
- Activities must be set up as templates before they can be added to weeks
- Changes to templates will not automatically update activities already added to weeks
Troubleshooting: Contact the Scheduling team for assistance if you:
- Need different teaching weeks
- Have issues with week selection
- Can't see the correct teaching period
All Activities section
The All Activities section provides a comprehensive overview of all your timetabling requirements. This is where Unit Coordinators can review and edit all entries in one place.
Purpose:
- View all activities across the trimester in a list view
- Make final checks before submission ensuring all requirements are correctly entered
- Edit multiple activities efficiently
Overview Features:
- Lists all activities for your unit
- Displays which weeks each activity occurs in
- Shows student numbers and group sizes
- Indicates room requirements
- Highlights any special equipment needs
Review Checklist:
- Check all required activities are included
- Verify student numbers across all groups
- Confirm room requirements are appropriate
- Ensure teaching weeks are correct
- Review any special requirements or notes
Making Changes:
- Edit individual activities directly from this view
- Update multiple similar activities at once
- Remove unnecessary activities
- Add missing activities if needed
- Adjust room requirements or equipment needs
- Add or remove specific weeks
- Adjust activity durations
Important Considerations:
- Where multiple groups are required for the one activity, student group size has been indicated
- Equipment requirements should be clearly specified
Quality Checks:
- Are all teaching weeks covered?
- Have you included all required teaching activities?
- Are room equipment requirements sufficient?
Before Submitting:
- Review all entries carefully
- Check for any duplicate activities
- Ensure all requirements are clearly stated

Review section
The Review section provides a summary of all your timetabling preferences and activities for 2026.
Key Information Displayed:- Expected student numbers
- Summary of all activities
- Total number of activities
- Total duration of teaching
- Duration per student
What to Check:- Expected Student Numbers
- Verify the total number is correct for 2026
- This number should match your anticipated enrollment
- Activity Summary
- Check the total number of activities
- Confirm the total duration is correct
- Review duration per student
- Activities List
- Week by week breakdown
- Activity types
- Student group sizes
- Duration of each activity
- Preferred times/days (if specified)
- Location requirements
- Equipment needs
- Lab setup requirements
Before Clicking 'Save':- Review all entries for accuracy
- Check that all weeks are correctly populated
- Confirm room and equipment requirements are appropriate
