How to structure a UNE Policy Document

Title

Use a title that describes the objective or outcome of the policy.

For example: Student Journey – Student Workload Guidelines.

Section 1 - Overview and Scope

The Standard content includes:

  • Clause (1) - describe how this Guideline relates to  the parent policy (Principles) and function or activity of the University.
  • Clause (2) - State of this purpose of this guideline.
  • Clause (3) - State the scope - this can be a particular area of UNE, type of person or role
  • Clause (4) - A brief focus area description contents of each Part contained with in the Guidelines

For example:
(1)  These Guidelines support the Student Journey Principles by provide a framework for the academic workload expectations of students.
(2)  The University of New England (UNE) is committed to providing highest quality learning experience for all students, through the delivery of relevant, future‐oriented and quality assured courses.
(3)  All undergraduate and post-graduate coursework programs of study offered by UNE. The guidelines do not apply to higher degree by research courses; All UNE undergraduate and post-graduate coursework students; and UNE Representatives involved in the student load and course completion processes at UNE.

Part A  -  Guideline Principles

The parts states the principles applied to this Guideline. They must be consistent with the parent  policy Principles.
Include the reason why each principle is important to UNE and the reader.

For example:

(cl) UNE students develop their academic, personal and professional potential by studying at a workload that reflects their individual capacity.
(cl) UNE provides access to information for students to make informed choices for planning and managing their workload. This is demonstrated through:
a. Providing information on course and unit requirements that is accessible, current, clear and consistent; and
b. Providing qualified course support and guidance.

Parts  - Focus area

For each focus area:

  • Part Title - make the title concise and meaningful e.g., UNE’s expectations of students or Workload and course completion
  • Describe the focus area and how it is supported
  • Who it applied to
  • How each focus areas is supported
For example:

(cl) UNE expects that students will self-manage their course enrolment and progress to complete their study in the by;
a. Using the resources available to make decisions on their study load and course completion; and
b. Meeting course and unit requirements as detailed in the UNE Course Handbook and in the Learning Management System.

Don't set requirements that are unmeasurable, prescriptive or describe a process or instructional steps. i.e. Students must check their university supplied email account daily.

In Part elements you can use:

  • Major Headings (display on navigation menu)
  • Minor Headings
  • Clauses and sub-clauses
  • Tables
  • Call out boxes - containing tips, examples or case studies
Section 2 -  Authority and Compliance

Authority defines the positions or governance functions that:

  • Has the authority to make this policy and approves it's...
  • Owns the policy and is authorised to make procedures and processes for the effective implementation and operation of this guideline
  • Is authorised to complete administrative changes to this policy

Compliance defines the personal and organisational obligations:

  • State the roles that must comply
  • State the relevant legislation, regulations, standards, codes and agreements
  • Standard clauses for Effective Date, Previous Policy
  • The table Summary of Roles and Responsibilities must define each role and their responsibility for ensuing compliance with the policy

For Example: Course Coordinator
Responsible for assessment and granting of extensions of maximum time.
Responsible for assessment and granting of study more than the normal maximum study load.

Section 3 - Quality Assurance

State the quality assurance approach - how  the University will ensure that policy meets its intended purpose and objectives. Quality Assurance requirements can be both internal and external. The table Quality Assurance Measures must define:

  • Each Quality Assurance measure
  • Who is responsible for completing the measurement
  • Frequency of measuring and reporting
  • Who received the report (Committee or Position)
