UNE HDR Extenuating Circumstances Extensions to Candidature and Scholarships

For HDR Candidates, UNE will support extensions to candidature and stipends in cases of demonstrated impact on research projects due to extenuating circumstances, particularly COVID-19.  The HDR Candidate must be able to demonstrate that HDR progress was significantly impacted for a specified period of time by providing a detailed record of these impacts along with a strong statement of support from the Principal Supervisor.

The HDR candidate must be able to demonstrate that alternative approaches were explored. For example, writing tasks, drafting of journal papers, desktop study, expansion of analyses from completed works, conversion to Masters etc.

If the HDR candidate can demonstrate the above, UNE will:

  1. Support extensions of candidature for a period of up to six months (depending on the nature of project impact)
  2. Assess COVID-19 HDR extension scholarship applications on a case by case basis. Support will be considered for HDR candidates (both Masters and PhD) who are currently in receipt of a full-time stipend from UNE.

To be considered for a COVID-19 extension scholarship, HDR candidates must meet the eligibility criteria as listed in the extenuating circumstances extensions guidelines.

HDR candidates are only able to apply for this scholarship one time during their candidature.  Please see below rounds for further information.

To apply for an extension to candidature and/or stipend, the HDR candidates must demonstrate the following with clear details on how, and for how long, these factors delayed completion of candidature:

  • Severity of impact on ability to pursue planned research (eg; demonstrated incapacity to undertake data collection, laboratory, or interview work; demonstrated limitation on planned and approved travel to undertake research; demonstrated  impact on supervisor/supervisory team capacity to mentor, etc)
  • Extended period of physical or mental health issues resulting from impact of these severe events. Medical evidence must be provided.

Applicants must provide details on how the requested extension will address the delays caused by these impacts.

HDR Candidates may apply by completing the online Extension of Candidature form and provide the following supporting documentation:

  • Statement from the HDR Candidates which addresses the principles and eligibility criteria as listed in the extenuating circumstances extensions guidelines.
  • Principal Supervisor Statement which provides specific details on:
    • Candidate and project progress to date
    • How the research has been impacted
    • Other options explored
    • Support for the HDR candidate’s request
  • Appropriate supporting evidence, for example Medical Certificate, or statutory declaration.

Once the online Extension of Candidature form has been received by Research Services with all above supporting documentation, the following process will take place:

  • The request will be sent to the HDR Coordinator in the School for appropriate approval
  • International students request will be sent to the UNE International Office for appropriate approval
  • Scholarship requests will be assessed by the HDR Scholarships Committee
  • The Scholarships Committee will assess each application based on the demonstrated severity of impacts on the planned research, as presented in the Statement from the HDR Candidate and supported by evidence as listed in the extenuating circumstances extensions guidelines

Other support could be made available for candidates who do not have a stipend via the Student Emergency Assistance Fund.

HDR candidates must apply within the final year of their stipend only.

For example, in the September 2020 round the current stipend end date must be prior to 6 September 2021.
