Handy UNESIS Forms and Reports

There are two ways to access information about students, units and courses in UNESIS: using the Inquiry Facility to search the database; or running Reports.

Inquiry Facility

In many cases the quickest and easiest way to find the information that you need is by using the UNESIS Inquiry Facility. Two of the most frequently used Inquiry Forms (INQF1A00 and INQF12E0) are shown below. These Forms and more are explained in a step-by-step way in the Callista Basic Navigation & Inquiry training guide, which you can dowload by clicking here. Person Inquiry

The Person Inquiry Form lets you search for and view a student's personal and academic details. Clicking on a button (for example, <Address> will take you to another screen containing the relevant information, and clicking <Exit> will take you back to the main form.

Clicking on the icon next to the Course Code in the Student Course Attempt Block will 'drill down' to the student's unit enrolment details and academic history.

 

Class List Inquiry

The Class List Inquiry Form lets you generate a list of students based on their unit attempts for a given unit. Clicking <Summary List> gives you enrolment numbers for that unit. Clicking <Dowload> will download the list as a .csv document.

 

Frequently-Used Reports

Various reports can be run to generate information that is more detailed or specific to your needs. Some of the most frequently used reports for general student, unit and course information are described below. Contact the UNESIS support team via the IT Helpdesk (x5000, helpdesk@une.edu.au) if you need help with a report or cannot find a report that meets your needs; we are developing new reports to supplement those that are currently available.

TIP: You can find these reports by clicking on the black arrow next to the relevant Callista menu, or by entering the report code direct in the <Go To> navigation button. See sample Menu below.

ENRR0810 Course Attendance Summary Provides number of students enrolled in a selected course/courses.

Step 1: Goto ENRR0810

Step 2: Select from among the following parameters ('Parameters'/'More' tabs). You can enter your parameters directly into the field if known, otherwise select from the drop-down List of Values.

TIP: Entering a <%> in a field will return all options for that parameter ie. it will not use that parameter to narrow the search.

  • <Load Calendar> - this is the period for which you require enrolment numbers
  • <Course Code/s>
  • <Location>
  • <Attendence Mode>
  • <Attendence Type>
  • <Organisational Unit> - enrolment numbers for all courses owned by a chosen Faculty, School or Board of Studies
  • <Commencement Type> - new or returning students

Step 3: Click <Schedule ASAP> () . The report will run in the background, and when complete it will print on your default printer.

TIP: If you have not used ‘Schedule ASAP' mode before, please goto Form SECF0066 and enter your default printer and email address before you run this report.

ENRR0820 Unit Enrolment Summary

Provides number of students enrolled in a selected unit/units.

TIP: You can also retrieve this information on a unit by unit basis by using the Class List Inquiry Facility (INQF12E0) which is described above

Step 1: Goto ENRR0820

Step 2: Select from among the following parameters ('Parameters'/'More' tabs). You can enter your parameters directly into the field if known, otherwise select from the drop-down List of Values.

TIP: Entering a <%> in a field will return all options for that parameter ie. it will not use that parameter to narrow the search.

  • <Unit Code/s>
  • <Load Calendar> - this is the period for which you require enrolment numbers
  • <Organisational Unit> - enrolment numbers for all units owned by a chosen Faculty, School or Board of Studies
  • <Location>
  • <Unit Class>
  • <Unit Attempt Status> - enrolled, discontinued, completed etc.
  • <Attendence Type>
  • <Commencement Type> - new or returning students
  • <Unit Coordinator Person ID> - enrolment numbers for all units Coordinated by that person

Step 3: Click <Schedule ASAP> () . The report will run in the background, and when complete it will print on your default printer.

TIP: If you have not used ‘Schedule ASAP' mode before, please goto Form SECF0066 and enter your default printer and email address before you run this report.

ASSJ002U

Academic Transcript

Contains details of a student's enrolled credit points, achieved credit points, results and official academic notes. Can be printed on approved UNE stationary and issued as an official academic transcript.

Step 1: Goto ASSJ002U

Single Transcript Tab

Step 2: Enter <Person ID> if known, or use <Find Person> button

 Step 3: Select <Specific Course> from List of Values, or leave blank if you want details of all course attempts for that student

 Step 4: Select <Run> ( ) or <Schedule ASAP> () . Run will open the report immediately as a .pdf doc. Schedule ASAP may take several minutes, when complete the report will be emailed to you as a .pdf doc attachment.

 Multiple Transcript & More Tabs

Step 2: Select from a range of other parameters including:

  • responsible org unit
  • course code / location / attendance mode / type
  • course / unit attempt status

 Step 3: Select <Run> or <Schedule ASAP>

CORF003U

Course/Unit List and Labels

This report can be used to create a Course, Unit or Person ID Group student list (.csv document) which can then be used to produce mailing labels via a mail merge process.

Step 1: Goto CORF003U

 Step 2: In the Mailing Label Selection block, select the Tab for your preferred mailing label option (Course, Unit or Person ID Group)

 Step 3: Select parameters from Lists of Values

 Step 4: Click <Retrieve List>

 Step 5: Check your list In the Mailing Label Preview block. Note that <Enc> indicates that the student has an encumbrance.

 Step 6: Click <Create File>, then Open or Save the resulting .csv document.

 Step 7: You can create and print mailing labels from this .csv document by using Microsoft Word mail merge. See the UNESIS homepage for instructions.

ASSR06N0 Unit Review Report This report can be used to review individual student grades / results for a selected unit or units, using a range of parameters

Step 1: Goto ASSR06N0

Step 2: Select from among the following parameters ('Parameters'/'More' tabs). You can enter your parameters directly into the field if known, otherwise select from the drop-down List of Values.

TIP: Entering a <%> in a field will return all options for that parameter ie. it will not use that parameter to narrow the search.

Step 3: Select <Assessment Period>

Step 4: Select <Unit Code>. You can run the report for an individual unit or cohort (eg. ANCH% will return all Ancient History units for the chosen Assessment Period)

As an alternative, you can run the report by <Owning Organisational Unit> if you want results for an entire Faculty. You cannot use this parameter to return results for a particular School.

Step 5: You may specify other parameters for your chosen Unit/s, including:

  • <Unit Mode> (eg. on campus, off campus, fully online)
  • <Unit Class>
  • <Unit Location> (eg. Armidale)
  • <System Unit Status> (eg. active, inactive, planned)

Select <%> for any parameter that you do not want to use. This will ensure that you do not unintentionally restrict your search

Step 6: Enter your required Grade / Result parameters:

  • <Grade Type> (eg. recommended, finalised)
  • <System Result Type> (eg. pass, fail, incomplete, withdrawn)
  • <Grade> (eg. P, HD, H1) - you may enter up to four grades

Step 7: If you want a signature block to print on the report, enter the appropriate names in the Chair of Examination Board / Assessment Panel fields in the Parameters tab. Otherwise just leave these fields at the default setting of 'NOT SPECIFIED'

Step 8: Select your desired <Sort By> parameter

Step 9: <Schedule ASAP>

ENRJ005U Student Unit Attempt Variation Report

Provides a list of students who have changed their enrolment status for a unit/s in a specified period, and details of those changes (date, new status).

Note that the report will not identify students who withdraw from a unit prior to the withdrawn early date. In this situation the record will be deleted.

Step 1: Go to ENRJ005U

Step 2: Select from among the following parameters. You can enter your parameters directly into the field if known, otherwise select from the drop-down List of Values.

TIP: Entering a <%> in a field will return all options for that parameter ie. it will not use that parameter to narrow the search.

  • <Academic Year>
  • <Date of Change>: The report will list all students who have changed their enrolment status for the identified unit/s since this date
  • <Teaching Period>
  • <Unit Codes>: Select the unit code/s that you want to report on (up to 5)
  • <Location>
  • <Unit Class>

Step 3: Click <Schedule ASAP> () . The report will run in the background, and when complete it will email to you as a .pdf document.

RESJ001U Research Student Details Report Provides research student details for a nominated organisational unit, course or supervisor. Output is one student per page.

Step 1: Go to RESJ001U

Step 2: Select from among the following parameters. You can enter your parameters directly into the field if known, otherwise select from the drop-down List of Values.

TIP: Entering a <%> in a field will return all options for that parameter ie. it will not use that parameter to narrow the search.

  • <Org Unit >
  • <Supervisor>: Select an individual supervisor ID, or a supervisor type
  • <Course>: Select course code

Step 3: Click <Schedule ASAP> () . The report will run in the background, and when complete it will email to you as a .pdf document.

ASSJ003U Progression Summary Report

Provides student unit and progression details including advanced standing and achieved and enrolled credit points. Additional Progression Parameters can be selected to report on grading schema, result type and minimum credit points.

Note than only some Student Centre and Faculty staff currently have access to this report. Contact the UNESIS Support Team for details.

Step 1: Go to ASSJ003U

Step 2: Select <Academic Year> (mandatory parameter)

Step 3: Select from among the following parameters. You can enter your parameters directly into the field if known, otherwise select from the drop-down List of Values.

TIP: Entering a <%> in a field will return all options for that parameter ie. it will not use that parameter to narrow the search.

  • <Organisation Unit >
  • <Course Code>
  • <Location>
  • <Attendance Mode>
  • <Attendance Type>
  • <Nominated Completion Year>
  • <Nominated Completion Period>

Step 4: If you want to include additional Progression Parameters in your report go to the 'More' tab, check the box and then select from among the following:

  • <Grading Schema>
  • <Result Type>
  • <Credit Points> (minimum number of credit points that you want to report on)

Note that selecting Progression Parameters may significantly increase the time required to run the report.

Step 5: Click <Schedule ASAP> () . The report will run in the background, and when complete it will email to you as a .pdf document.
