Production of learning resources
The aim of this webpage and associated documents is to provide a guide to the processes associated with the submission, production and output of learning resources at UNE.
Standard UNE Information
TLC has created templates that contain the latest standard UNE information. These are updated each semester and contain general information for students as well as information which is required by policy. It is important that you access the latest templates to ensure that the information in your materials is current. Some parts of the templates will need to be populated with information specific to your school. Check with your school for the text to be used.
Learning Material Templates
The following templates have been constructed by the Teaching and Learning Centre
It is preferable that these templates be used as starting points for the creation of your learning materials. This does not preclude school staff from customising them to their own requirements as long as the formatting is undertaken through the application of styles sourced from the document's style window rather than simply defining selected text in an ad hoc manner. This reduces the likelihood of undesired results caused by automated font substitutions. For assistance with use of the templates or questions about desktop publishing please contact TLC on #2999.

Using previous versions of learning resources
You may want to re-use some content from previous learning resources when creating your new materials. It is important that you retrieve previous materials from the TLC archive rather than using versions which may be available in the school. The reason for this is simply that the files held in the TLC archive have been through a process of quality assurance and are the actual files that were signed off by the school. Staff can access the previous versions of their resources here.
Readings
TLC can scan materials directly from original items such as books or journals, however we can process these faster if photocopies are supplied. Our Digipath scanner operators are able to straighten slightly crooked photocopies and clean up marks outside the text. It is important, however, that the area containing the text is as clean as possible.
We prefer not to use PDFs that have been created from scans made by MFDs as we cannot edit or clean these and they are usually of an inferior quality than can be produced from our own scanners.
Readings from online databases e.g. Proquest, Informit and Emerald, generally cannot be supplied in full within your online unit, CD or printed material. These should be supplied as a link so that they are accessed directly from the online database. The Library page Creating durable links to full-text articles has information on creating these links.
Readings for eReserve should be supplied to the library. Information on this is available on the eReserve — Staff page. If TLC has previously scanned the readings you require we can provide these to the Library for you. You will still need to make the usual arrangements with the Library for them to be placed into eReserve.
Items to be printed
Files for items to be printed should be provided electronically with an accompanying PDF file if possible. If there is something unusual about the materials, e.g. specialised fonts etc, then a printed copy of the electronic file should be supplied as well for comparison. Before making your PDF, please ensure that your original document uses A4 page size, not US letter.

Format Request Form
In order to help us plan for the volume and type of work for each semester, we request that School staff complete a web form with the details for any of their offerings. The data from this form is used to:
- Plan the workload
- Answer student enquiries
- Assist with managing materials for students with special needs or computer exemptions
Notifying students in fully online units
All off-campus students enrolled in a unit that is delivered fully online should be sent an introductory letter in the mail to introduce the coordinator and the unit as well as providing instructions to assist them to initially log on to UNEonline. To ensure that all students receive a letter, it is recommended that the mailing be managed by TLC as our system monitors ongoing enrolments.
Schools may choose to draft their own letter or amend the TLC draft welcome letter. However, letters should reach TLC no later than one month before the start of teaching to allow time for duplication, packing, despatch and receipt by students.
Please allow enough copies to cover anticipated enrolments. TLC can arrange duplication from a file or master copy if you prefer. If duplication is required, a Learning Materials Submission Form should be supplied. A copyright form is not required to be supplied to TLC. Please note, however, that copyright compliance for the content of an online site (Blackboard/Sakai) is the responsibility of the unit coordinator.
Forms
There are two forms which must accompany each submission.
Please download the forms to your computer and rename them with the Unit Code as per the following naming convention examples - (ENGL102_Submission, ENGL102_Copyright). If you have a double level unit please use a dash rather than a forward slash as a separator (e.g. AFM 372-472). The forms have been recreated by TLC and are now supplied as interactive PDFs. They are able to be completed, saved, signed digitally and submitted either by email to TLC or via the TLC drop box with the material. Alternatively, they can be completed, printed out and signed, then either scanned and submitted via the TLC drop box or delivered to TLC. Learning resources checklist for school staff prior to submission
All items submitted to TLC should generally be completed and ready for duplication. Only fonts that have cross-platform stability should be used. Please refer to the following checklist before submission.
Submission checklist
- Unit Number, Name and year are correct on title pages, headers and/or footers
- Contact details are correct
- The latest UNE and school information has been included from the latest TLC template and/or your updated school template
- Assignment and Intensive School dates are correct
- All online links have been tested
- Documents have been proof-read and spell-checked
- List of readings has been supplied with full references
- Forms are correctly and fully filled in and signed
Drop boxes
When your learning resources files are complete and ready to submit to TLC for duplication, they should be uploaded to the appropriate Drop Box. Electronic copies of the Learning Materials Submission Form and Copyright Form, whether signed digitally or scanned from signed hard copy, should be uploaded with the learning resources files. Please advise TLC (by email or phone #2999) when files have been uploaded to the Drop Box. Drop Boxes are on the UNE server Barney at Stafffiles\Other\TLC Drop Boxes.
Alternatively, materials and/or forms can be delivered in person or via internal mail to the Teaching and Learning Centre. Work begins after all the components have been submitted.

MyUNE – A student’s view
When possible, TLC makes electronic copies of processed learning materials available for download from myUNE. These are made available to students when the despatch period commences.
For units with this availability, off-campus students will have a Unit Materials column on the myStudy tab in myUNE, in which a CD icon indicates availability of learning materials. Clicking on the CD icon provides access to the materials.
Students are also referred to the Learning material packages page for information about despatch of their materials.
Special Needs
Requests may be made to schools for materials to be converted into another format for students with special needs. TLC and Student Assist can coordinate the conversion and despatch of only those items that have already been provided to TLC for duplication.
You may be requested to provide materials that are only available from the school – such as material from your online site.
Converting Word files to HTML
UNE has a campus edition license for Wimba Create (formally known as Course Genie). Wimba Create converts Microsoft Word files into HTML for use in online units. The software runs on Microsoft Windows. The license allows staff and students to have a copy of this software for use on their computer at work or home. Further information, as well as the Wimba Create software, installation instructions, reference manual and templates can be downloaded here. We are also trialling this with some TLC-produced CD-ROMs. If you are interested in supplying Wimba Create files to TLC to be included on your unit CD, please contact TLC on #2999.
