Exclusion Policy

Preamble

University General Rule 7 permits the Faculty to exclude students for inadequate academic progress.  The rule reads as follows:

Exclusion of students  (except PhD students)

7.1 A student may be excluded by a Faculty from further enrolment in a course for a period of one to three years in terms of the rules applying to the course.
7.2 Whether or not a student has been excluded from a course, where a student seeks to transfer to another course, the relevant Faculty may consider the student’s academic record in terms of the rules applying to the course to which the student seeks to transfer and may deem the student to be excluded from that course.


Faculty Rule 2.21 also relates to exclusion and states:

If, in the opinion of the faculty a candidate has made inadequate progress towards completion of a bachelor degree, diploma or certificate, or in the event of an unsatisfactory report by the supervisor of a master candidate or a failure by a master candidate in prescribed course work, candidature may be terminated unless the faculty determines otherwise on the basis of written or other evidence placed before it. 

Exclusion

Exclusion means that you may not re-enrol in the Faculty of The Sciences.  The exclusion period is normally three years but this may be shortened according to the circumstances.  Your period of exclusion is three years unless stated otherwise in the covering letter sent to you.  Exclusion is formally recorded upon your academic transcript.

In December-January each year the Faculty scans enrolled student academic transcripts.  Students who have not successfully completed at least one unit per semester in the previous year of enrolment will be invited to show cause why they should not be excluded from the Faculty on the basis of inadequate academic progress.

Students who respond to the show cause invitation will be referred to the Student Affairs Committee.  Students who do not respond to the invitation to show cause by the prescribed date will be automatically excluded for three (3) years.

A list of students excluded for that year will be provided to the Course Coordinators at the commencement of each academic year.

Excluded students may apply to be readmitted to their degree or another award of the Faculty through the submission of a written application by no later than 30 September in the year preceding their proposed recommencement, however the Faculty reserves the right not to readmit excluded students.

Excluded students have the right to appeal as detailed below.

Right to Appeal

The Academic Appeals Policy for Excluded Students is detailed below.  It is also in the Student Help Pages ( http://sciences.une.edu.au/student_help_index.asp).

  1. Responses to show cause invitations related to exclusion for inadequate academic progress are considered by the Student Affairs Committee.

  2. Where a student wishes to appeal against a decision of the Committee in relation to exclusion, the appeal must be made in writing to the Faculty Manager/Academic Coordinator.  In considering such an appeal the Faculty Manager/Academic Coordinator will discuss the case with the Committee Chair.  The Faculty Manager/Academic Coordinator will report the outcome of the appeal to the student in writing with a copy to the student file.

  3. If a subsequent appeal in writing against the decision of the Faculty Manager/Academic Coordinator is lodged, it will be referred to the Associate Dean (Teaching and Learning), who will report the outcome of the appeal to the student in writing with a copy to the student file.

  4. Appeals against the application of Faculty policy related to exclusion must be made within one month of the original decision being released to the student, subject to otherwise stated appeal deadlines.  If a student’s appeal is unsuccessful at Faculty level, the student may appeal in writing to the Pro Vice-Chancellor (Academic).

Lodging an Appeal

Write to, fax or email the Faculty Manager/Academic Coordinator, Associate Dean (Teaching and Learning) or Pro Vice-Chancellor (Academic) according to which point of the appeal process you are at.  Please do not attempt to ‘jump’ the process – your papers will be referred back to the appropriate point.  You must respond within one month of each stage to keep your appeal valid.

Appeals to the University Ombudsman

Where a student believes that the process detailed above has not been complied with, s/he may appeal to the University Ombudsman for an administrative review.  The University Ombudsman will receive and make findings only on matters of due process, not upon the substance of a complaint.

Transfer to Another Course

You may apply to transfer to another course either in the Faculty of The Sciences or another Faculty at UNE.

In general, transfers to other courses within the Faculty will not normally be allowed except where it is clear that this new course avoids the study problems you encountered previously (you transfer to the BSc from the BCompSc because you are very weak in computer science, for example).

You can expect to have your academic progress closely monitored and to have specific progress targets laid down for you if you are allowed to transfer to another course within the Faculty.
