The Human Resources department of UNE has adopted a new online recruitment application called eRecruitment. This application allows for more efficient and faster processing of job applications and reduces the amount of paper that is printed for the Selection Panel. Not only is this beneficial for the environment, it also reduces our internal costs and the amount of manual work done within Human Resources, enabling us to provide a better service to our clients.

Before you Start

The job advertisement contains useful information about the position. If you wish to speak to someone further about the job opportunity you will find contact details in the body of the advertisement.

The Vacancy Document itself is in adobe pdf format. Adobe Reader can be downloaded from the Adobe website.

Many jobs at UNE require a VISA which is current at the time of the job application and for the duration of the length of the appointment. Check the job advertisement to see if the particular job you are applying for requires a VISA. This message will usually appear at or near the bottom of the ad;

This position is only open to applicants who are Australian citizens or who hold a permanent resident visa in Australia at the closing date for applications.

For any job requiring a visa, if you are not an Australian citizen and permanent resident then you will need to attach a copy of your current visa with your job application. Failure to do so will make your job application automatically invalid.

Up to 3 referees are enough for an application. Please ensure your referees are aware of your job application and are happy to be your referee. Be sure they can be readily contacted by the Selection Panel, if required by supplying their current contact details.

Note: When entering the referee details in the application form, the comments field only allows for a maximum of 60 characters.

The University of New England, like many educational institutions and government departments uses selection criteria as a method of assessing applications. 

Please view the How to Apply page for more information. This will provide you with a guide on how to answer the selection criteria and general information about the application process.

Creating the Application

This example application will assist you with filling out the form.

  1. Within the Vacancy table on the UNE Employment page, click on the Position Title for the job you are interested in. A job advertisement will display so you can gather details regarding the position such as duties and salary. Visa requirements will be stated at the bottom of the advertisement if applicable to the position.
  2. Click on the Position Classification and Selection Criteria link located underneath the advertisement to open and download the document. This contains more detailed information about the position and a list of the selection criteria which must be answered in your application (note this does not apply to the Casual Register positions).
  3. Once you click on the Apply Now button you will need to fill out the online form and attach your application all in the one session so it is recommended that you complete your documentation offline and revisit the job web page once you are ready to submit.
  4. When you are ready to complete your application, click on the Apply Now button which is located underneath the Position Classification and Selection Criteria link.
  5. Fill out your personal details and contact details for up to 3 referees. Manadatory fields have an asterisk (*) next to them.
  6. Browse to and attach your job application making sure to include a cover letter, resume/curriculum vitae and selection criteria responses. If applicable, also attach a copy of your current visa (if required in the advertisement). It is preferred that you attach your documents as Adobe .pdf files.
  7. If you don't attach all 4 documents you will get a popup advising you that you can still attach more documents. This is only an information screen, so as long as you are satisfied that you have attached what is necessary, you can click ok to continue your submission.

    However, you must make sure you have attached at least one document which covers all the position requirements in order to be considered for the position. Take care to check you do not get the following message that says you have selected 0 documents. In this case choose the Cancel option and attach your document(s) before submitting.

    At the bottom of the form is a Declaration field which must be read and ticked otherwise your application will not submit. An error message will display at the top of the form if you do not click the declaration.

  9. Finally, click on the Submit button.
  10. Errors, such as a required field that has not been filled out, will be displayed in red or in a popup window. You may find that the documents have been cleared from the attachment fields so reattach them if necessary, correct any errors and then click on the Submit button again.
  11. The submission process can take 30 seconds or more so please be patient and do not click the Submit button more than once. The screen will automatically take you to the top of the page where the green Success message will be displayed.

  12. All applications should be submitted online but if you are unable to do so you may email your application to jobapplication@une.edu.au with an explanation.

A resume, cover letter and response to the selection criteria must all be attached to your job application, either as a single document or separate documents. Failure to do so will make your application invalid.

If you have a technical problem when submitting your application and you don’t believe the documents attached correctly, please contact jobapplication@une.edu.au and inform the contact person/s in the job advertisement as soon as possible. This action is necessary to prevent your application from being automatically dismissed.

Please submit your documents preferably as Adobe (pdf) format. Jpeg format (.jpg, .jpeg) is acceptable for copies of your visa. All files combined should be no more than 2mb in size.

Please note that this system is very particular with filenames. Filenames should not include special characters such as ‘, ; & . apostrophes, commas, ampersand, fullstops etc. Even though you may be able to save a document with special characters you could still have trouble attaching them to the application.

File names should be limited to about 50 characters and include your name, vacancy reference number and type of document.

After Submitting the Application

When you submit your application you should get the Success message at the top of the page. This means the application has successfully saved into our recruitment database. You will also receive a confirmation email if you have included your email address. However, if you have any doubts regarding the receipt of your application you can send an email to jobapplication@une.edu.au or phone Human Resources on (02) 6773 3972.

An email will be sent when an application is first submitted. Shortlisted applicants will be either contacted by phone or email. For this reason please make sure to include a valid email address so system notifications can be sent to you.

Once your application has been submitted you will be unable to access it online. For specific errors or omissions from your application please send an enquiry to jobapplication@une.edu.au

Technical Questions

In the first instance, contact the person who is listed on the job application and explain the situation. All applications should be submitted online but we understand there can be the circumstances that prevent this from happening and in this case job applications can be emailed to jobapplication@une.edu.au with an appropriate explanation.

General Information

If you are a UNE employee then you should use Web Kiosk for lodging your job application. The benefit of this is the form will pre-populate with most of your details saving you a lot of time in filling it out. You can access a list of vacancies within Web Kiosk by using the Current Vacancies button on the top toolbar.

The menu on the left provides lots of information about the University and region of New England, particularly the Armidale and Working sections.

The Human Resources department keeps a manual casual register that holds any resumes sent in for this purpose. In the near future, requests to be included on the casual register will be submitted online but in the meantime you are most welcome to email your resume and a cover letter to jobapplication@une.edu.au  Please indicate in your cover letter what type of work you are interested in, what hours you prefer to work and whether you are looking for fulltime or part-time work.

To keep the Casual Register up to date, these resumes will only be kept for 6 months so you should resend your updated resume twice a year if you still want to be considered for casual work.

Troubleshooting

This can occur if you have been reading the job advertisement for over 10 minutes and then click on the position description link. To rectify this problem you can select the vacancy again from the current vacancy table by clicking on the position title and download the documentation.

If you get a page unavailable or web page cannot be found etc  the site may be experiencing network issues. Please try again if the closing date is at least a day away otherwise email your application to jobapplication @une.edu.au with an explanation of the problem you encountered.

UNE staff will get this message if they are logged into Web Kiosk at the same time as opening the external job vacancy due to session cookies. All internal applicants should apply using the Current Vacancies facility in Web Kiosk. This will be more advantageous as the application form will pre-populate with staff details.

cookies error

Some users have experienced a problem where the page does not display the section below the words "Select a vacancy type...". This may be due to a slow network connection. Refresh the vacancy page or leave it and try again at a later time. If the problem still occurs then please contact Human Resources and let them know you are unable to access the job listing table.
