Inter library loans and document delivery for staff

If you need material not held in the University Library for your research, the Document Services Unit will get it for you.

We can provide:

  • Photocopies of journal articles, book chapters and conference proceedings.
  • Books, audio-visual material, teaching kits and software.
  • Microform (microfilm or microfiche) copies of documents.
  • Theses.
  • Your material may come from any of a number of Australian and overseas sources.

Eligibility

All graduate and higher degree students are eligible for inter library loan services. The service is also available to fourth-year students enrolled in major research units.

Registration

New users should register when submitting their first request. This allows us to have contact details on file and meet our obligations under the Copyright Act.

Registration forms are available from the Information Desk on the Ground Floor of Dixson Library and on the Web.

How to make a request

Completed Document Request forms can be left at the Information Desk or sent in the internal mail to the Document Services Unit.

Document Request forms can be obtained by contacting the Information Desk on 02 6773 2458 (extn 2458) or the Document Services Unit on 02 6773 3473 (extn 3473).

In addition, requests can be submitted electronically using two online forms:

  • Loan Request Form This form can be used by eligible students to order books and other items on inter library loan.
  • Photocopy Request Form This form can be used by eligible students to request a photocopy of material held elsewhere.

For books, please supply:

  • author's full name, title of book, publisher, place and date of publication
  • ISBN (if available)
  • the required edition.
  • For articles, please supply:
  • full journal title, volume, date, page numbers. If you only have an abbreviation and not the full title, please contact the Information Desk for help in expanding this abbreviation. Do not guess!
  • the name of the author and the article title
  • ISSN (if available).
  • For theses, please supply:
  • author, thesis title, degree, university and year.
  • Turnaround time
When processing your requests Document Services staff will select the fastest and most reliable supplier.

In some cases it may be necessary to try several suppliers. Your material will typically arrive within 8-10 working days.

Books from overseas and requests for items difficult to source may take longer. If you want to check on the progress of a specific request, please contact the Document Services Unit on 02 6773 3473 (extn 3473).

Charges

Document delivery services for postgraduate research students are free. This category includes:

  • PhD candidates
  • professional doctorates with a two-thirds or greater research component
  • research Masters with a two-thirds or greater research component.

The Request Form gives you three payment options. These are:

  • credit card (Bankcard, Mastercard or VISA only)
  • charging the cost to a UNE account number
  • invoicing.

All student requests are GST-free. There is an additional $5.50 (GST inclusive) charge if you request an invoice.

The standard charges are as follows:

  • $12.00 per inter library loan/document delivery request. This charge applies to all photocopy requests, and requests for books provided by Australian libraries.
  • $36.00 per book request if the requested item has to be borrowed from an overseas library.

Some Schools set aside funds to support student use of the inter library loan facilities. Please check with your supervisor in relation to the availability of such financial support.

Rush service

Rush requests are managed outside the mainstream and are placed with a supplier within one-two hours of their receipt by the Document Services Unit.

Articles ordered using this service will usually be supplied within 24 hours.

Books will usually arrive within 48 hours. The standard charges are:

  • $24.00 for the Rush delivery of a journal article
  • $30 for a Rush loan request.

Please bring your requests to the Information Desk in the University Library and request this service. The staff of the Document Services Unit will inform you if the item you require is not available at this service level.  

Collecting your request

When your book or other loan item arrives you will be notified by email (where possible) or internal mail. Loan items will be held at the Information Desk for collection.

Photocopies will usually be sent to your School in the internal mail.

Photocopies ordered as Rush items will be held for you at the Information Desk and you will be advised of their arrival.
