What is eReserve?
eReserve is the University Library's electronic reserve collection, providing online, copyright-compliant access to high demand journal articles and book chapters which are not otherwise available electronically.
To ensure UNE meets its licence and copyright obligations, it is a UNE requirement that the following third party material is made available online only via a link to eReserve:
- Chapters scanned from print published books.
- Scanned articles from hard copy volumes of periodicals and conferences.
- These materials must not be located on faculty servers or uploaded directly into Moodle.
Freely available web-based content is not managed in eReserve , and should be provided as a link from your online unit site.
Deadlines
Calls for the submission of eReserve materials are posted via a une-official email, with deadlines for submission to be six weeks in advance of the required teaching date. A first call for materials required in the first three weeks of trimester will be made, followed by a second call for material required for the remainder of the trimester.
For Trimesters 2 and 3, 2012, the deadlines are:
- Required for first three weeks of Trimester 2 - Friday 11 May 2012
- Required for remainder of Trimester 2 - Six weeks before lesson
- Required for first three weeks of Trimester 3 - Friday 14 September 2012
- Required for remainder of Trimester 3 - Six weeks before lesson
It is vitally important that every request includes the required teaching date to give library staff the best chance to prioritise the huge number of submissions and provide material to all students in time to meet their needs. Each year eReserve staff process more than 7,000 readings, most of which are for units taught in 1st and 2nd trimesters. The deadlines above are set in order to give us the best chance to provide material to students by the beginning of trimester. We, and your students, depend on the timely submission of materials to achieve this end. Early submissions are encouraged!
Please Note:
- eReserve items are processed strictly in order of receipt
- eReserve staff will ensure that readings received by the deadline are available for the start of the teaching period
- Material received after the deadline will be processed, but may not be available by the start of the teaching period
Instructions for submitting items to eReserve
Additions to eReserve and removal requests can be submitted via email to eReserve@une.edu.au
- In the body of your email include the following information:

Phone:
Trimester: - Attach a list of citations with the date required for each reading.
- Attach (scanned) PDF versions of the readings*
An example of a submitted request (including a citation list ) is available online.
Photocopies : Provision of high quality scans and copies will improve the quality of the final output and reduce the final file size. Please ensure that photocopies have clear, legible text, are straight on the page and have minimal or no black margins.
If you cannot email your PDFs due to file size you can deliver a CD/ DVD of the scans in person at the Library Service Desk or post a CD/DVD to the eReserve Team, Dixson Library. Please note that you will still need to send us an email with the information above and the citation list notifying us that you are using this alternate method.
- Readings stored in eReserve remain there until such time as their removal is requested by a course coordinator, or copyright compliance requires their removal. There is no need to resubmit a reading each time a unit is run.
- Course coordinators are encouraged to review eReserve listings for their units on a regular basis and notify eReserve staff of any removals.
Copyright
One of the main functions of eReserve is to ensure compliance with Digital Copyright Laws and the Statutory Licence Part VB which allows UNE staff to copy certain quantities of works, mainly:
- One article from a single issue of a print journal, or more if the subject matter is the same
- 10% or one chapter of a published monograph, whichever is greater. This applies across the University as a whole which means that if a unit co-ordinator is already using a chapter of a book in eReserve, another chapter cannot be reproduced even if it is for a different unit. In these cases, eReserve staff will assist you to provide the chapter you require for your students via email or in print, or find an alternative reading
- More than 10% of a published book if it is not available commercially
- Readings are fully referenced.
- Copyright warning notices are present where appropriate.
- Periodic sampling of copyright usage is performed.
