Submitting material for eReserve : For staff
How should I present photocopies for scanning? Please submit high quality photocopies. This will improve quality and reduce file size. Photocopies should be:
- A4-sized, clean, straight on the page
- not on recycled paper
- clear and legible (copies reduced beyond 90% of the original size are not recommended)
- with minimised black photocopy margins.
Please provide a correct citation for the article (author, article title, journal title, year, page numbers).
When submitting material for inclusion in eReserve, please fill-out and attach a copy of the eReserve Submission Form.
Should I provide print copies of articles from subscribed electronic journals?
No, our licence agreements with publishers prohibit us from scanning paper copies of electronic journals and including these in eReserve. However, if you provide us with the
- correct citation for the article (author, article title, journal title, year, page numbers)
- name of the electronic journal collection in which you found the article (eg ProQuest, Expanded Academic)
We will investigate the best options for including these document in eReserve.
Are there guidelines for submitting electronic documents to eReserve?
Electronic document images should:
- be supplied as PDF files created with Adobe Acrobat 4.0 or later
- contain only one bibliographic item, not a compilation of pages or documents
- be scanned at a resolution of 200 dpi, with the files size not to exceed 4Mb
- not be reduced below 90% of the original print document page size.
- be straight on the page and, as far as is possible, have consistent page orientation.
Can I link direct to online documents in eReserve?
Yes. Contact eReserve staff, Kirra Porter or Cody Fookes, or you can email libedoc@une.edu.au for a copyright compliant link which you can include in your WebCT unit, email to your students, or place on a Web page.
Staff of the Law School can contact Judy Stott or email the Law Library at lawlib@une.edu.au.
Do not cut and paste the direct link associated with the eReserve document image — using this non-secure link contravenes copyright and may result in prosecution.
What are the copyright implications of e-reserve?
The University has a responsibility to observe copyright limitations. This means that all copying, including digital copying, must comply with the limits prescribed in the Copyright Act 1968:
- no more than 10% (consecutive or continuous pages) or one chapter of a book (whichever is the greater)
- more than this if the work is out of print or unobtainable in a reasonable time (proof of being out of print is required)
- no more than the whole or part of an article in one issue of a periodical
- two or more articles in one issue of a periodical if they are on the same subject
- the whole or part of a literary or dramatic work in a published anthology if not more than 15 pages
- an artistic work which accompanies a literary or dramatic work for the purpose of explaining or illustrating text
- the whole or part of an artistic work if it is not separately published or is unobtainable in a reasonable time.
A copyright statement will be added by the Library to each item. Additional information about Copyright at the UNE can be found on the Copyright pages.

Submitting material for the Reserve Collection (hardcopy) : For staff
Why use the Reserve Collection?
The Reserve Collection is one means by which Library staff and academics can work together to meet established standards for library support. One copy of all library items described in teaching materials as recommended or further reading should be placed in Reserve Collection. This is the most efficient method of providing students with constant access to high demand material.
How to place material in the Reserve Collection
Material held in Dixson Library can be placed in Reserve Collection by emailing a list of items to Allison Hall or you can leave material at the Dixson Library Service Desk. For law materials, see Judy Stott in the Law Library or email a list to lawlib@une.edu.au.
In the case of lecturer-owned materials (copies of journal articles, lectures, examination papers, lecture tapes), the academic staff should supply the Library with good quality copies with sufficient margins to allow for binding.
External students
One of the purposes of Reserve Collection is to ensure that material is available for students during Residential Schools.
External students are able to request photocopies of Reserve Collection material from home. They are not able to borrow books from the Reserve Collection, so it is often advisable to direct students to a particular chapter. Individual chapters can be photocopied by Library staff and sent to students.
Further information
For additional information on the Reserve Collection please contact Allison Hall, or Judy Stott for law material (lawlib@une.edu.au).
