Downloading from databases to EndNote

Please note: Whenever you download references into your EndNote library make sure you check that the new ones have moved across correctly before merging them with your existing library.

CSA

  • Tick the boxes to mark any CSA database references that you wish to download to EndNote.

  • When you have finished, click on the Save, Print, Email link at the top of your results list.

  • By default CSA assumes you want to download your marked records and not all of your results.

  • Use the drop-down menu to select Full format for your references instead of Short Format.

  • Ignore the section which deals with creating a bibliography with the QuikBib tool.

  • Go down to the Save button near the bottom of the box. To its right there are radio buttons so you can choose a PC, Macintosh or Unix operating system. Make sure you have selected the correct button for your computer.

The screen should now look something like this:


  • Click on the Save button.

  • When prompted, save the records as a Text Document.
  • Import this file into your EndNote library, using the appropriate CSA filter for the database you used.

  • Remember to check the newly imported references for accuracy before merging them into your existing library.

  • Expanded Academic (Infotrac)

    • Mark the records you wish to import into EndNote. When you click in the Mark check box next to a record, a folder appears at the top of the Expanded Academic window:

    • Click on the Marked Items folder and then click on Citation Tools:

    • Click on the EndNote check box and then click on Export:

    • Click on Open. EndNote will prompt you for your library:

    • Find your library in the Open window and then double click the library name to import the references.

    Google Scholar

    • A special filter is not needed to import records from Google Scholar.

    • Click on Scholar Preferences beside the Search box.

    • When the Preferences window opens, scroll down to Bibliography Manager and click on the radio button Show links to import citations into.

    • Use the drop-down menu to choose EndNote. If you are using EndNote X there is a problem with the filter supplied with the software. Use the drop-down menu to select RefMan instead of EndNote.

    • Click on the Save Preferences button.

    • Now when you do a search, you will see a link Import into EndNote or Import into RefMan underneath each reference.

    • Click on this link when you wish to save a reference to EndNote.

    • Then click on Open when the File Download dialogue box appears.

    • You will be asked to choose your EndNote library and then the reference will be imported.

    • You will need to set your preferences each time you use Google Scholar.

    Informit

    Direct Export of References to EndNote

    Direct export is the easiest way of getting references into your EndNote library. It works well with some Informit databases: APA-Fulltext; Meditext; A+ Education; and Australian Natural Resources Index. In other cases, use a filter as direct export is usually unsatisfactory.The major Informit databases are listed on EndNote filters page.

    Direct export is very simple.

    • When searching the database, check the boxes beside the records which you wish to download to EndNote.

    • Click on the Save icon at the top of the list of results.

    • This will display the Save Records screen. Note that you can download a maximum of 200 records at a time.

    • Under Output Format, use the drop-down menu to select EndNote Direct. The screen should now look something like this:

    Remember to check the references after import. In some cases you will have to go back to the database to get further details and amend the references in your EndNote library.

    Downloading References and Importing with a Filter

    In some cases, you will get better results if you first download the references from Informit, and then import them into EndNote with a filter which is specific to the database you were searching.

    Each Informit database has a different record structure. To import references with a filter, you must search one database at a time.

    • Check the records which you wish to download. Note that a maximum of 200 records can be downloaded at one time. We strongly recommend that you save your marked records frequently.

    • Click on Save and a new screen will be displayed.

    • Under Records to Save, the option Marked Records should be checked.

    • Under Label Format, the option Short Labels should be selected.

    • Under Fields to Save, select Complete Record.

    • Under Extra Options, you can uncheck the option Save Search History.

    • Under Output Format, select Plain Text. Do not select the EndNote option if you are using one of the filters from our filters page.

    • The screen should now look something like this:

    • Now click on the Save Records button.

    • Save the file as a Text Document (*.txt).

    • Go to our filters page and download the filter which corresponds to the database which you have been searching. See the notes on that page about where to save the filter.
    • Open EndNote and import the file of saved records using the filter.

    MetaSearch

    • Perform your search and then select items for export by clicking Add item next to each reference you want to keep.

    • Then click on My Space at the top of the screen.

    • Tick the boxes next to the records you wish to export and click Selected.

    • Click Save in the dialogue box and choose Citation Manager from the drop down menu.

    • Finally, click Save and choose the EndNote library where you want to keep your references.

    • Because Metasearch searches across a number of different databases, data may end up in incorrect fields. For example, references from Informit databases may have abstracts inserted into the Notes field. It is important that you check and edit the new references brought into your EndNote library before combining them with your other references.

    ProQuest

    • Mark the references that you wish to export.

    • When you have finished making your choices, click on the _ marked items link on the My Research tab at the top of the ProQuest screen.

    There are two ways to place these marked ProQuest records into your EndNote library.

    Directly export to EndNote

    • This method is appropriate if you are using your own computer where EndNote is installed.
    • Click on the link Export citations into EndNote, ProCite, RefWorks or Reference Manager.

    • Choose Export directly to ProCite, EndNote or Reference Manager.

    • Your EndNote software will open up if it is not already open.

    • Select the library you want to use and the references will be imported immediately.
    • Remember to check that your references are accurate. Sometimes ProQuest reverses authors' names.

    • ProQuest citations provide only the starting page number of an article, not the full range.

    Save your references and import them using a filter

    • This method is appropriate if you are working on a computer that does not have EndNote installed.

    • Click on the link Download in a format compatible with ProCite, EndNote, Reference Manager and RefWorks.

    • Choose the Save As command from your browser's File menu and choose Text File (*.txt) as the file type.

    • Save your references to a storage device, such as a USB key or disk.

    • Import the file into your EndNote library using a ProQuest filter. This is one of the filters provided by EndNote X1.

    • Check that each reference has been imported correctly, especially authors' names.

    • Proquest citations provide only the starting page number of an article, not the full range.

    Web of Science

    There are two main ways you can put your Web of Science references into your EndNote library.

    Directly export to EndNote

    You can do this if you are working on your computer where EndNote is installed.

    One page at a time

    • Mark the records on the page that you want to export to EndNote.

    • On the right-hand side of the screen, under Output Records, use the default setting Selected records on page.

    • Use the drop-down Bibliographic Fields menu to select Bibliographic + Abstract.

    • Click on the Export button.

    • When prompted, choose the EndNote library where you wish to save the references.

    Use a Marked List

    • When you have performed your search, mark each record in which you are interested by ticking the box.

    • Click on the Submit button to add the marked records to the Marked List.

    • Click on the Marked List button and you will see a list of your selected articles.

    • At the top of this screen is a box where you specify your Output Options (Fig. 1 below).

    • In Step 1 you must select the fields to include in the output (the fields that will appear in your references).

    • Be sure to tick the boxes next to Author(s), Title and Source.

    • You can choose to tick any of the other boxes if you wish. It would be worthwhile for you to tick the Keywords and Abstract boxes as a minimum.

    • Now look at Step 2. Select an option. Click on the Export to Reference Software button.

    • Your EndNote software will open up if it is not already open.

    • Select the library you want to use and the references will be imported immediately.

    Download your references and import them using a filter

    • This method is appropriate if you are working on a computer that does not have EndNote installed.

    • Save your marked records onto a USB key or disk by clicking on the Save to File button.

    • Use Field Tagged, the default output format, and click on Save.

    • Later you can import your saved file of references into EndNote using ISI-CE, one of the standard import options.
