Conference call with 3 parties:
On analogue phones:
To set up a conference call:
- Dial the number of the first party
- Press the Recall/Flash Key
- Dial the number of the second party
- Press the Recall/Flash Key
- enter 3
All parties are now connected.
To disconnect from a conference call, replace the handpiece of your telephone.
On Digital Phones
Up to 2 callers can be included in your conversation, known as “Conference”. To activate dial your first caller, then dial your second caller, when ready to connect all three callers press the CONF Soft Key (on your display).
Conference calls - more than 3 parties
To set up a conference between more than three people, you have to choose between a "non-mediated" conference (one that does not require a staff member to be present as a coordinator for the conference) or a "mediated conference" (i.e one that is organised and initated by a staff member on campus at the time). The first method is easier to set up and useful if you have a number of external parties joining in. The second method is useful for internal numbers and/or if you want to initiate the conference).
Method 1: Unmediated Conference
To set up a conference, have your conference participants dial extn 2330 (or externally 02 6773 2330) at your prearranged time. They will be asked to dial your conference code. This code is a single digit from 0 to 9. The organiser will need to select a single number base on the below criteria and advise all members of the conference of this number in advance (The number must be the same for all participants).
Code 0 to 7 - Maximum of 10 conference participants 8 and 9 - Maximum of 29 conference participants
On entering the selected conference the first caller will hear a welcome message that says "You are in conference please hold on". When each additional participant enters the conference an entrance tone is played.
To join the conference as the organiser / coordinator, you will also have to follow the process above (dial 2330 and enter the conference code selected for your conference).
To finish the conference. To leave the conference just hang up.
Method 2: Mediated Conference
To set up the conference, the person initiating the phone conference will need to make up a four digit number (use your extension) and let all other members of the conference know what that number is.
To start the conference: The initiator of the conference dials #7 followed by the destination extension number (the destination extension number is the number that is hosting the conference ie. the number of the phone you are using). You will then be asked to enter a personal code (this is an arbitary number the suggestion is to use the number of the phone that is hosting the conference). As the only person in the conference, you will hear a welcome message " you are in conference please hold on".
To join the conference as an internal caller If the other conference callers are internal, they also dial #7 followed by the four-digit extension number of the phone hosting the conference call then enter the personal code. They will be added to the conference.
To join the conference as an external caller: call the Switchboard on 67733333 and ask to be put through to "conference (extension number nominated)" - the switchboard will then forward them. They will then need to dial #7 followed by the four digit extension number of the phone hosting the conference call then the personal code. They will be added to the conference.
OR b) call another extension at UNE (i.e the number of the local Admin Assistant) and they will then transfer the call on an analogue phone pressing the “recall” button dial #7 followed by the four-digit-number on extension number of the phone hosting the conference call then enter the personal code. They will be added to the conference
To transfer on a digital phone, dial #7 followed by the four-digit-number on extension number of the phone hosting the conference call then the personal code then press the “transfer” button and the relevant line button the caller is on they will be added to the conference
OR c) Somebody at UNE (i.e. the Admin assistant or the conference initiator) calls the external parties and, (from a phone other than the phone hosting the conference) once they are on the line, they will then transfer the call on an analogue phone by pressing the “recall” button dial #7 followed by the four-digit-number on extension number of the phone hosting the conference then enter the personal code. They will be added to the conference
To transfer on a digital phone to dial #7 followed by the four-digit-number on extension number of the phone hosting the conference call then enter the personal code press the “transfer” button and the relevant line button the caller is on they will be added to the conference
