Outlook 2003 Junk Filter

The Junk E-mail Filter in Outlook 2003 is on by default, and the protection level is set to Low, which is designed to catch the most obvious junk e-mail messages. Any message that is caught by the Junk E-mail Filter is moved to a special Junk E-mail folder, where you can retrieve or review it at a later time. You can make the filter more aggressive, which may mistakenly catch legitimate messages, or you can set Microsoft Office Outlook 2003 to permanently delete junk e-mail messages.

There are two parts to the Junk E-mail Filter: the Junk E-mail Lists and Microsoft's spam filter technology that is used to evaluate whether an unread message should be treated as a junk e-mail message based on several factors, such as the time it was sent and the content of the message. The filter does not single out any particular sender or type of e-mail message. The filter is based on the content of the message in general and uses advanced analysis of the message structure to determine the probability that it is a junk e-mail message.
To configure the "agressiveness" of the filter (or to switch it off completely), go to ACTION - JUNK EMAIL - JUNK EMAIL OPTIONS and select the level of Junk Filtering. Note: The higher the setting, the more likely it is that some genuine emails get treated as Junk and are filtered into the Junk mail folder - if you decide to change the settings, keep an eye on the folder for a while.

There are three Junk E-mail Filter Lists:

  • Safe Senders List (A list of domain names and e-mail addresses that you want to receive messages from. E-mail addresses in Contacts and in the Global Address Book are included in this list by default.)
  • Safe Recipients List (A list of mailing lists or other subscription domain names and e-mail addresses that you belong to and want to receive messages from. Messages sent to these addresses will not be treated as junk e-mail.)
  • Blocked Senders List (A list of domain names and e-mail addresses that you want to be blocked. E-mail addresses and domain names on this list are always treated as junk e-mail or spam.).

To add addresses to either of the lists, highlight a message in the Inbox and then go to ACTIONS - JUNK EMAIL and choose the appropriate command to add sender to either of the lists above.

Junk Filter for Apple Mail

Warning: Spam filtering will never be 100% accurate. You should routinely check the mailbox where you are placing the suspected spam for legitimate messages that were incorrectly filtered.


Apple's Mail program features a built in spam filter. This filter works by learning what messages you consider to be spam.

  • Start Mail.
  • Go to the Mail menu and select Preferences.
  • Click on the Junk Mail icon.
  • Check Enable Junk Mail Filtering.

Choose between Automatic and Training mode. Training mode marks messages as junk and leaves them in you Inbox, whereas Automatic moves messages it thinks are spam, and messages you mark as spam, to the Junk Mail folder.


There are three options are available to exempt messages from the junk filter that meet a certain criteria. We recommend using only the first two:

  • Sender of message is in my address book.
  • Sender of message is in my previous recipients list.
  • Message is addressed using my full name.

Check Trust junk mail headers set by your ISP. This will allow Mail to utilize the spam indicator header inserted by the central e-mail system.
If you would like to further customize the spam filter, click the Advanced... button.


After you have made your changes, close the Junk Mail window.
Initially, you will need to train the spam filter to recognize the messages you consider to be spam.

  • If a valid message is incorrectly marked as junk, highlight the message, go to the Message menu, then Mark, then As Not Junk Mail.
  • If a spam message is not marked as junk, follow the same steps as above, but select Mark -> As Junk Mail.

There is also a Mark as Junk/as Not Junk icon in the Mail's toolbar which you can use instead of the menus.
Over time, Mail will become more and more accurate at correctly identifying spam.
 

Setting up filters in UNE's Webmail 

Setting up filters in UNE's webmail system will set up filters directly on the mailserver and act on the message before they reach your inbox (ie. before you download your emails to a mail program on your computer). Setting up filters in Webmail is also useful if you want to control Spam and only use Webmail.
To set up the filters:

  • Log on to Webmail
  • Click on OPTIONS
  • Webmail Settings
  • Click on MAIL FILTERS
  • Webmail Settings
  • Set up your filters as desired. If you, for example, want to filter all messages with "viagra" in them directly to the "Trash", follow the screenshot below.

  • Click on the "floppy disk" icon on the right of you rule to save the changes and activate the rule.
  • Repeat as required.
Note: Webmail will automatically delete the contents of your Trash every 7 days.
