What is Microsoft Exchange?

Exchange is an Email system with many additional collaboration and productivity features.

Over the course of the next 12 months all UNE staff will be migrated from the current email system to Exchange.  Many departments have already made the transition including: the VC's unit, ITD, the Dixson Library, HR, the Secretariat, the Legal Office, Finance, WPP, Planning & Institutional Research, RMO, and the Arts & Sciences faculty office.

Benefits of Microsoft Exchange

1) Enhanced Features: Exchange lets you share calendars and tasks with other users. You will also have greater control over your email including the ability to recall emails, and restore items accidentally deleted from your inbox for up to 14 days.

2) Easy Access: The new Outlook Web Access interface lets you access all the email, calendaring, contacts, and tasks features of Outlook 2007/Entourage 2008 on any computer in the world.  Better still, because OWA is an up-to-date mirror of your full email client everything will be right where you left it- is your email sorted into folders? The same folders will appear in OWA. Can’ remember when that meeting is tomorrow? Check the calendar in OWA from home. And any changes you make in OWA will automatically update on your local machine when you next return to the office, so there’ no confusion.

3) Support for Mobile Devices: Get full functionality on your N95, iPhone or Windows Mobile device, and have access to you email and calendar wherever you are.

4) Security & Reliability: Constant backup of emails, calendar entries, contacts, and tasks to the UNE servers means that you’ll never lose email again. If your local machine does crash, you can retrieve your email from the server quickly and easily.

5) Increased Efficiency: All of your email, calendaring, contacts, tasks and planning can be done using the one program. And because you can now share with all of your colleagues, arranging meetings and workflows has never been easier.

6) Zero Cost: Unlike Meeting Maker, user licenses for Exchange are covered under the University’s CAUDIT agreement, so all staff can benefit for free.

Exchange Project Summary

What Do I Need to Do to Prepare?

1) If you haven’t already done so, you will need to upgrade to Office 2007 (PC) or Office 2008 (Mac). This is a requirement of the University generally, and must be done before September 2009. Upgrade disks are available from the Service Desk.

2) All Mac users will be migrated to Entourage 2008. (This will be done for you by the Exchange rollout team, all you need do is alert them that you are a Mac user before the rollout date for your department).

3) There will be quotas on mailbox sizes of 2 GB for normal users and 5 GB for Executives. Therefore, it would be a good idea to have a spring-clean of your email folders.

4) Training is recommended, particularly for those unfamiliar with Office 2007/2008, and is available through ODU (more information on their website: http://www.une.edu.au/od)

When Will My Department Get Exchange?

The Exchange Project team are migrating entire departments one at a time, starting with central admin units, and working their way out to the Faculties and Schools. The rollout is manual, and one of the Exchange rollout technicians will be visiting every staff member on campus to perform the upgrade. We hope to have all departments migrated by the end of 2009.

The Project Manager, Kaylene Moses will soon contact Heads of Departments and Administrative Assistants in areas which have not yet been done to arrange a date for the onsite rollout.  Once the date is set for your department your AA will be able to give you all the details.

Technical Support

At this stage all support issues for Exchange will be handled by the Project directly (rather than the Service Desk).  If you require assistance, or have any technical queries before your department's rollout please contact the technicians in any of the ways below.
