Visiting Academics (Research) and Visiting Research Students

University policy requires that overseas visitors obtain the correct visa while engaged with training or research. Overseas visitors will fall into one of the below categories, listed in line with visas offered by Department of Immigration and Border Protection:

  • Visiting Academics (Research) and Visiting Research Students: Individuals who are associated with another institution who are invited to visit Australia to observe or participate in an Australian research project.
    Training Activity Visa (subclass 408)
  • Occupational Trainee: Postgraduate students, or recent doctoral graduates who want to come to Australia on a temporary basis to participate in occupational training or participate in classroom based professional development activities. Please contact HR Services if you wish to invite an Occupational Trainee to UNE.

Step by Step Guides:

Visiting Academic Research
  1. The University is not obligated to accept Visiting Academics (Research). The Visiting Academic (Research) must be invited to attend the University. The visit must be held at a mutually agreeable time, and provide benefits for both parties.
  2. UNE Academic identifies individual as potential collaborator with UNE.
  3. UNE Academic & Visiting Academic (Research) complete a Visiting Nomination or Renewal Form and Visiting Academic (Research) – Duty statement template and submit for Head of School approval.
  4. Nominations approved at the discretion of the Head of School. School Administrative staff (with UNE Academic) completes Acknowledgment of Unpaid Placement form – 1284 Sponsor and sends through with Nomination form, Duty Statement and Curriculum Vitae to Human Resource Services.
  5. Human Resource Services send letter, duty statement, Acknowledgment of Unpaid Placement form – 1283 Visa applicant and Visiting Academic (Research) – Evidence of Employment template to Visiting Academic (Research).
  6. Visiting Academic (Research) signs acceptance of terms and conditions (included in confirmation letter) and returns all completed documentation to Human Resource Services within 14 days.
  7. Human Resource Services notify UNE Academic and School of acceptance and forwards onboarding and induction information.
  8. Human Resource Services sends the Visiting Academic (Research) all paperwork required for visa application - see Temporary Activity visa (Subclass 408) Documentation checklist.
  9. Visiting Academic (Research) applies for appropriate visa:
    Temporary Activity Visa (Subclass 408) Research stream 
  10. On approval – Visiting Academic (Research) sends copy of Visa Grant Notice to Human Resource Services and UNE Academic.
  11. UNE Academic notifies Human Resource Services Visiting Academic (Research) has arrived, by completing the Commencement of Employment form and sending it to Human Resource Services.
  12. Human Resource Services enters Visiting Academic (Research) on system and email Visiting Academic (Research) and School confirmation, with information to set up IT access. All documentation is saved to TRIM.
Visiting Research Students
  1. UNE Academic identifies individual as potential collaborator with UNE.
  2. UNE Academic & Visiting Research Student complete a Visiting Nomination or Renewal Form and Visiting Research Student – Duty statement template and submit for Head of School approval.
  3. Nominations approved at the discretion of the Head of School. School Administrative staff (with UNE Academic) completes Acknowledgment of Unpaid Placement form – 1284 Sponsor and sends through with Nomination form, Duty Statement and Curriculum Vitae to Human Resource Services.
  4. Human Resource Services send letter, duty statement, Acknowledgment of Unpaid Placement form – 1283 Visa applicant and Visiting Research Student – Letter from Home Institution template to Visiting Research Student.
  5. Visiting Research Student signs acceptance of terms and conditions (included in confirmation letter) and returns all completed documentation to Human Resource Services within 14 days.
  6. Human Resource Services notify UNE Academic and School of acceptance and forwards onboarding and induction information.
  7. Human Resource Services sends the Visiting Research Student all paperwork required for visa application - see Temporary Activity visa (Subclass 408) Documentation checklist.
  8. Visiting Research Student applies for appropriate visa:
    Temporary Activity Visa (Subclass 408) Research stream.
  9. Human Resource Services notify UNE Academic and School of acceptance and forwards onboarding and induction information.
  10. On approval – Visiting Research Student sends copy of Visa Grant Notice to Human Resource Services and UNE Academic.
  11. UNE Academic notifies Human Resource Services Visiting Research Student has arrived by completing the Commencement of Employment form and sending it to Human Resource Services.
  12. Human Resource Services enters Visiting Research Student on system and email Visiting Research Student and School confirmation, with information to set up IT access. All documentation is saved to TRIM.
