Addressing Internally Directed Mail
All internal mail is to be addressed to the intended recipient as per their name and building number as shown in the internal UNE telephone directory.
Envelopes For Internally Directed Mail
Wherever practicable internal mail should be sent in a re-useable buff coloured internal mail envelopes. The previous address shown on the envelope should be obliterated and the next available space on the envelope used.
The Mail Service will store and supply partially used internal envelopes. Cost Centre staff should ensure that supplies in excess to requirements (approximately four months supply) are returned to the Mailroom for redistribution.
Where the use of a re-useable internal envelope is unsuitable (e.g. confidentiality required) plain coloured envelopes with “CONFIDENTIAL and INTERNAL” printed thereon should be used.Transportation Of Internally Directed Mail
Blue canvass mailbags are provided for the transportation of internal mail and should be used wherever possible. These bags will be collected from their designated collection point. In accordance with OH&S regulations mailbags prepared for transportation must not exceed sixteen kilograms (approximately three quarters of a mailbag). If this quantity is, or expected to be, exceeded, staff of the Mailroom should be advised in advance.Timeliness Of Sorting & Distribution
Correctly addressed and clearly legible internal mail received by the Mail Service will be sorted and distributed by the following day.
Internal mail will be distributed to the designated delivery point once per day in accordance with the timetable displayed under “mailrun”.
To expedite delivery of internal mail, same building or nearby building mail may be distributed by staff of the sending faculty/division.Items Accepted & Identification
- Internal mail does not include mail addressed to Australia Post AU mailboxes.
- No dangerous or toxic goods will be handled.
- Fragile goods should be clearly identified but no responsibility will be taken.
