UNE Official

Introduction

UNE-Official is one of two officially supported mailing lists for the University and provides a channel for the senior executive to communicate important information to all staff.

Only members of the Vice-Chancellor's Executive Group (VCEG) have unmoderated approval to post to UNE-Official. The VCEG currently consists of the Vice-Chancellor, Deputy Vice-Chancellors and Chief Financial Officer.

All messages posted to this list need to comply with the Rules for the Use of   University of New England Computing and Communication Facilities, the Electronic Communication Policy and the Telecommunications Act, 1997.

These rules and guidelines will assist you in determining whether an item of information meets the requirements for posting to UNE Official and the process which needs to be followed in order to get an item posted to the list.

1.0 Subscription to UNE-Official

1.1 All general and academic staff are automatically subscribed to UNE-Official

1.2 Only the Vice-Chancellor can authorise an exemption from being subscribed to UNE-Official

1.3 Non-UNE staff cannot be subscribed to UNE-Official without the authorisation of the Vice-Chancellor

2.0 Function and Purpose

2.1 UNE-Official's purpose is to provide official   communication of information from the senior executive of the University to UNE   staff. This would include, but is not necessarily limited to;

  • Information about operational and strategic initiatives of the senior executive
  • New and updated University policies and/or procedures
  • Information relating to Government policies and reporting requirements
  • Information concerning funding and research opportunities

2.2 UNE-Official is not the correct communication channel for information regarding day-to-day operational matters, promotion of services   and events or communication of information which is not applicable or of interest to all or a majority of UNE staff.

3.0 Administration

3.1 The mail list 'une-official' is to be used by authorised members of the University to provide essential information to all staff. For the purposes of this policy 'authorised members' of the University shall be:

  • Vice-Chancellor
  • All Deputy Vice-Chancellors
  • Chief Financial Officer
  • Any other person acting with the authority and/or the explicit approval of the above members of the Vice-Chancellor's Executive Group

3.2 Content of this list is not moderated before it is posted, but any inappropriate posting will be dealt with in accordance with   University policy. All posting must be concise, informative and congenial.

3.3 All messages posted to UNE-Official are archived within the University's records management system.

3.4 These rules and guidelines were last updated on 10 September, 2014.

4.0 Posting Guidelines

4.1 The primary function of this list, as mentioned above, is for official correspondence from the senior executive to UNE staff.

4.2 Deans and Directors of the University can request, through their supervisor, to have information posted to UNE-Official.

4.3 If you have information which you believe is of importance or interest to UNE staff, but are unsure of the appropriate   communication channel to use, the IT Service Desk can provide guidance.

4.4 Items that you have for sale, auction, lease, rent or tender are not considered to be appropriate for posting to UNE-Official.

4.5 UNE-Official is an information list and therefore is not appropriate as a forum for discussion or debate of any topic.

4.6 Political parties, or individuals within political parties, that wish to advise of meetings, events or happenings are not   considered to be appropriate for UNE-Official Such postings can be sent to une-events.

4.7 Chain letters, commercial advertising and petitions are not considered to be appropriate material for this or any other mail list and in general, do not comply with Government legislation relating to unsolicited commercial and bulk e-mails and therefore contravene the University's policies on e-mail and use of computer equipment.

4.8 Information concerning service interruptions or changes are not appropriate to this list. This information can be publicised through the UNE Service Announcements web page. Contact the IT Service Desk for more details.

4.9 Information regarding special events, such as faculty functions, special lectures, open forums or public debates should be   communicated via UNE-Events rather than UNE-Official.
